It is the responsibility of the student and the thesis/dissertation director to ensure that the manuscript is submitted in a timely fashion and conforms to the requirements of the Old Dominion University Guide for Preparation of Theses and Dissertations and the style manual/guide used in the student’s program.
The thesis or dissertation must be submitted to the Associate Dean’s secretary (OCNPS 143) three weeks prior to the last day of classes of the semester.It should be printed on ordinary paper (not the special thesis/dissertation paper); it should be clean, with no markings (any corrections requested by the GPD must be made before the document is submitted to the Dean); and it must be in compliance with all the requirements of the Old Dominion University Thesis/Dissertation Guide.A Graduate Student Completion Checklist is available on the Thesis and Dissertation Approval web page to help with guidance through the final steps.
In case there are updates to the Guide for Preparation of Theses and Dissertations, the date of the amendment will be listed on the cover page of the Guide.The changes from the previous document will be noted on the cover page or in a separate document that will be downloadable from the same page as the complete Guide.All changes made during the year will continue to be listed in the addendum throughout the year.Students must follow the copy of the Guide for Preparation of Theses and Dissertations that is in effect on the first day of the graduation semester.For students in the College of Sciences, changes will not become effective until the start of the next academic semester.
NOTE:Students should not use old theses and dissertations as guides; if there are questions that are not addressed in the Thesis/Dissertation Guide, students should first contact their advisor, second, their GPD and lastly, the Associate Dean.
Students should submit a complete draft of their manuscript to their advisor and committee well in advance of the end-of-semester deadline so that a check can be made for the most common errors - margins, spacing, figures and references.
NOTE: If you are completing your thesis or dissertation from a remote (off-campus) location:
- Have someone here to pick up and deliver copies of your manuscript.
- Manuscripts may be mailed to the Dean’s Office with all forms and materials.
- We will fax or e-mail review comments to you.We will return mail the manuscript if you provide a prepaid mailing envelop. We can send the reviewed copy via Campus Mail to your contact here.
- Someone here should pick up the final original, pay fees, make copies & deliver to registrar.Please contact the Associate Dean if you need other arrangements.
The thesis must be accompanied by a copy of Graduate Form 7 (Result of Master’s Degree Examination or Requirement) and the dissertation must be accompanied by a copy of Graduate Form 10 (Result of Ph.D. Examination or Requirement); both documents must also be accompanied by a reprint from the Model Journal and a copy of Graduate Form 6 (Thesis/Dissertation Acceptance and Processing), with complete signatures except for the Associate Dean.Virginia Consortium for Professional Psychology students must have the dissertation registered at the VCPP office prior to submission for review.
The thesis/dissertation will be returned to the student as soon as the review has been completed.Students should NOT contact the Associate Dean’s Office to inquire as to when the review will be complete.Once the reviewed document has been returned, students may call the Associate Dean to discuss any changes required prior to printing of the final copy on the 100% cotton bond paper.
In the Dean’s Office, the thesis/dissertation will be checked for conformity with the appropriate version (see above) of the Old Dominion University Guide for Preparation of Theses and Dissertations.The Guide is available on the web at:

The student should print a copy from the web because the University no longer supplies printed copies.You will need Adobe Acrobat Reader to access the Guide; if you do not have Acrobat Reader, you can download it for no charge from the same site.The last page of the Guide lists the items that will be checked in the Dean’s Office; the thesis/dissertation must conform to the requirements of the University before it will receive approval by the Associate Dean.

If significant errors or a large number of small errors are found, the thesis/dissertation will be returned immediately, before the Dean’s review is completed, and the process will begin again.In such a case, the student’s graduation date could be delayed.
At the time of the document review, written feedback will be provided to the student and copies will be sent to the student's advisor and Graduate Program Director.
After the Dean’s review corrections are made, the student will submit a final, error-free copy of the thesis/dissertation, printed on the 100% cotton bond paper.The student will submit the document along with the original Graduate Form 6 (Thesis/Dissertation Acceptance and Processing), complete except for the Associate Dean’s signature, and the student’s copy of the Dean’s correction list to the Dean’s Office.The previously reviewed copy should also be returned.
The final copy will be checked to ensure that all requested corrections have been made and will then be returned with Graduate Form 6, signed by the Associate Dean.Procedures for submitting the thesis/dissertation to the Registrar’s Office are outlined in the Thesis/Dissertation Guide and forms are available from the GPD or on-line.
